Manual Task Assignment

Assign manual tasks to a group, individuals, or roles

The Manual Task Assignment feature in Zluri lets you assign tasks to groups of people rather than individuals. This helps you distribute responsibility across multiple users, reduce dependency on individuals, and minimize delays.

  • Flexible assignment: Choose between individuals, roles, or groups based on your needs
  • Shared responsibility: Allow any group member to complete the task, reducing delays when individuals are unavailable
  • Better collaboration: Team members can coordinate through comments
  • Clear accountability: Track who completed which task

How the process works

  1. When creating a manual task, select a group, role, or individual(s) as the assignee(s).
  2. All members of the group receive notifications about the task
  3. Any member of the group can take action on the task
  4. Members and admins can discuss the task via comments
  5. When a group member completes the task, it's recorded and the task is marked as completed for everyone
  6. All task activities appear in workflow run logs with detailed information

Task notifications

All group members receive email notifications when:

  1. A task is assigned to the group.
  2. A group member or admin comments on the task.

Setting up the task assignment

Here's a sample workflow that you can adapt to your needs:

Create a manual task

  1. Go to WorkflowsOnboardingPlaybooksNew Playbook.

  2. Select task assignment method and apps:

    1. Select Mail for task assignment.

    2. Click +Add next to the application(s) that you wish to assign to the user (Slack, Lessonly, Productboard, and Figma in this case).

You can choose between three assignee types: Individual, Role, and Group.

Option 1: Assign task to individual(s)

  1. Set Assignee Type to Assign one or more users.

  2. Search for and select assignee(s) for the task.

  3. Select a due date and click Add Manual Task.

Option 2: Assign task to a role

  1. Set Assignee Type to Assign to a Zluri role.

  2. Select a role and due date, then click Add Manual Task.

Option 3: Assign task to a group

You can assign tasks to any group in the ApplicationUsersGroup section.

  1. Set Assignee Type to Assign to a group.

  2. Search for and select the group for the task.

  3. Select a due date and click Add Manual Task.

View and manage assigned tasks

You can view the tasks assigned to you and to the group(s) that you are a part of from the Tasks dashboard.

There are two types of views: Admin view and Group member view. You can switch between them by clicking on your profile picture in the top-right corner and selecting Switch to Employee View or Switch to Admin View.

Group member view

As a group member, you can:

  1. See all tasks assigned to you (both directly and via groups).

  2. View task details by clicking on any task.

  3. Here, you can (A): Mark the action as Completed / Cancelled, or (B): View and/or add comments.

  4. Once someone has taken an action on the task, you can see the type of action (completed or cancelled) and who took it.

Admin view

The following user roles in Zluri can access the Admin view:

  1. Owner
  2. Admin
  3. Super User
  4. Integration Admin
  5. IT Admin
  6. Viewer
  7. IT Viewer

As an admin, you can do everything that a regular user can do, plus:

  1. View all tasks in the Tasks dashboard, including those assigned to other individuals and to groups you aren't a part of.
  2. Read and write comments in all tasks.

The Viewer and IT Viewer roles can only view the tasks and comments of other individuals and groups that they aren't a part of. They cannot take actions or write comments in them.

  1. Filter tasks using the My Tasks quick filter to see:

    • Tasks assigned directly to you
    • Tasks assigned to groups you belong to

Viewing run logs

To see detailed information about task assignments and completions:

  1. Navigate to WorkflowsOnboarding (or Offboarding) → Run Logs.

  2. Click View Log for the specific workflow run.

The log will show:

  • When the task was created and assigned to the group
  • When notifications were sent
  • The current task status
  • Who completed the task (if applicable)

You can also:

  • Send reminders to all group members
  • Reassign the task to a different group or user(s).
  • Mark the task as completed or cancelled.
